Tenants and members

A tenant is your organisation's account in Helena. It owns all environments, tests, service accounts, members, billing and audit history. Every user belongs to exactly one tenant.

Member and tenant management is under Configuration in the sidebar:

  • Members: invite, resend, revoke and remove.
  • Tenant settings: rename, transfer ownership, delete.
  • Billing: Owner only. See Plans and billing.

Owner and members

Each tenant has one Owner, who is the person who registered it unless ownership has been transferred. Every other user is a member. Members can manage almost everything. The Owner has three extra powers:

Capability Member Owner
View and rename the tenant ✅ ✅
Create, edit, run and delete tests ✅ ✅
Create, rename, delete and switch environments ✅ ✅
Manage service accounts ✅ ✅
Invite members, resend or revoke invitations ✅ ✅
Remove another member (never the Owner) ✅ ✅
Delete own account ✅ ❌ (transfer ownership or delete the tenant first)
Manage billing (plan, payment method, invoices) ❌ ✅
Transfer ownership ❌ ✅
Delete the tenant ❌ ✅

Note

Helena does not have roles within a tenant yet. Only invite people you trust to manage your tests and service accounts.

Inviting members

  1. Go to Configuration → Members and find Invite a member.
  2. Enter the Email address and select Send invitation.
  3. Helena emails an invitation link. The same Invitation link is shown once on screen, so you can also share it through another channel.
Rule Detail
Expiry Invitations expire after 7 days.
Resend Issues a new link, which invalidates the old one, and restarts the 7-day expiry.
Revoke Cancels a pending invitation. The link stops working.
Existing accounts An email address that already has a Helena account, in any tenant, cannot be invited.
Seats Members plus pending invitations count against your plan's member limit. Revoke unused invitations to free seats.
Re-inviting Inviting an address whose earlier invitation expired replaces that invitation.

Pending invitations are listed under Invitations with who sent them and when they expire.

Removing a member

On Members, select Remove next to the person. Their account is permanently deleted and they lose access immediately. You cannot remove yourself or the Owner.

Transferring ownership

The Owner can make another member the Owner:

  1. Go to Configuration → Tenant settings → Transfer ownership.
  2. Choose the New owner and confirm with Your password.

You become a regular member and lose access to billing and tenant deletion. If there is nobody else in the tenant, invite another member first.

Deleting the tenant

The Owner can permanently delete the tenant from Tenant settings → Delete tenant. Type the tenant name and your password to confirm. Deleting the tenant:

  • cancels any active subscription immediately, so the tenant is never charged again
  • deletes every member account, every environment, test, Test Log entry and service account
  • signs you out

Danger

This cannot be undone. Pipelines that use the tenant's service accounts start failing at once.

Owners of a locked tenant can still open Tenant settings to delete it.

Your own account

Under Settings (bottom of the sidebar) you can change your name, email and password, turn on two-factor authentication, choose light or dark appearance, and delete your account. The Owner must transfer ownership before deleting their own account.
